Privacy Policy

Version 2026-08-15 (launch draft — under attorney review). This Policy is part of our Terms of Service.

Who we are

Royalty Office is operated by Alamo Exploration LLC, a Texas limited liability company whose affiliates also acquire and lease mineral and royalty interests (together, the “Corporate Family”). We say this plainly because it matters to how you read this Policy.

What we collect

  • Account data — name, email, password credentials (managed by our authentication provider), and the owner entities you claim.
  • Verification data — the mailing address we send codes to (drawn from public county records), documents you choose to upload (for example, check stubs or division orders), and results of identity- and records-verification checks we run in connection with your claims.
  • Billing data — handled by our payment processor; we never store full card numbers.
  • Usage data — pages viewed, features used, device and log information, to operate, secure, and improve the Service.
  • Communications — messages you send us, and your marketing preferences.

Public records are not “your data”

Wells, production volumes, permits, and ownership-roll entries shown in the Service derive from public governmental records that exist independently of your account. Claiming a card links your account to those records at your request; deleting your account unlinks them but does not remove public records.

How we use information

  • To provide, secure, support, and improve the Service, verify claims, process payments, and send service communications.
  • Internal marketing within the Corporate Family. We may use your contact and account information to send you marketing about Corporate Family products and services — which may include offers to purchase or lease mineral or royalty interests. Every marketing message includes an opt-out, and you can also opt out in account settings; opting out never affects your subscription or the Service.
  • To comply with law, enforce our Terms, and protect rights, safety, and the integrity of the Service.

What we do NOT do

  • We do not sell your personal information to unaffiliated third parties, and we do not share it with unaffiliated third parties for their own marketing.
  • We do not use the contents of documents you upload to price, negotiate, or underwrite any offer to you; if a member of the Corporate Family ever makes you an offer, it must be prepared from records available without your uploads.
  • We do not knowingly collect information from children under 18; the Service is for adults.

Who we share with (processors)

We share information with service providers who process it only on our instructions to run the Service: hosting and database providers, authentication, payment processing, email and text delivery, postal mail fulfillment (verification codes), identity/records verification, and analytics. Members of the Corporate Family may access information for the internal purposes described above. We may disclose information if required by law, in connection with a corporate transaction (under confidentiality), or to protect rights and safety.

Your choices and rights

  • Marketing opt-out — unsubscribe link in any email, STOP to any text, or account settings.
  • Access, correction, deletion — you may request a copy of your personal information, correction of inaccuracies, or deletion of your account data by emailing privacy@royaltyoffice.com. We honor applicable state privacy rights (including, where applicable, the Texas Data Privacy and Security Act), and we will not discriminate against you for exercising them. Verification, consent, and legal-compliance records may be retained as required or permitted by law.
  • Appeals — if we decline a rights request, you may appeal by replying to our decision; we will respond as applicable law requires.

Retention

Account data is kept while your account is active and for a reasonable period after closure. Records of consent, acceptance of terms, verification outcomes, and billing are retained longer where needed for legal compliance and defense of claims. Uploaded documents are deleted on account deletion except where retention is legally required.

Security

We use reasonable administrative, technical, and physical safeguards, including encryption in transit, least-privilege access to production data, and segregation of the Service’s systems from the Corporate Family’s other systems. No system is perfectly secure; please use a strong, unique password.

Changes

We will post changes here with a new version date and notify you of material changes by email or in-product. Continued use after the effective date is acceptance.
